Contracts Administrator:
MINIMUM EDUCATION: Engineering, Quantity Surveying, Business
Administration, Law
EXPERIENCE REQUIRED: Minimum 05 YEARS
• Reporting directly to Cluster Contracts and Commercial Manager.
• Generates and maintains documentation for analysing, negotiating, and
drafting change/variation orders with Client and subcontractors.
• Collaborates with all Team
Members as deemed necessary
on project contract and
subcontract matters .
• Conducts contract administration to
ensure proper contract
fulfilment in accordance
with company policies,
legal requirements, and contract
specifications. Accordingly, drafts
letters and keeps the records.
• When required, advises
management of contractual
rights and obligations; compiles
and analyses data;
and maintains historical information.
• Progress Claim and Contractual matters, assist the Project team in original
routine progress reports related to the contracts singed and assigned.
• Review and comment on progress reports.
Updates the Areas of
Concern for the progress
reports together with the status
of Variations and/or claims notified
and received.
• Monitors and administers the business provisions
of the Contracts signed
and assigned subcontracts to ensure compliance with contractual terms
and conditions. Advise the Contracts
Manager regarding scope, financial, and risk issues and concerns of applicable
contracts and to prepare its report accordingly.

• Provides support service
when required in
"interpretation of contract" during
the course of
the contract and
ensures its close-out is in
accordance with established
procedures.
• Follows up on problems demanding management attention to ensure a timely
response to a client
• Prepares tender enquiry documents based on work scope and other requirements
according to policy guidelines.
• Assists in the writing
and preparation of the
scope of works, BOQ's
and Subcontracts documentation, negotiating
the subcontracts, administer the
contracts through to final payments and
retentions.
• Participates as a member of the negotiating team for technical and commercial
evaluation of Subcontracts.
• Ensure that signed contracts are communicated to all relevant parties to
provide contract visibility and awareness,
• Handle on-going issue and change management
• Monitor transaction compliance (milestones, deliverables, invoicing etc.)
• Ensure Contract close-out, extension or renewal.
• Monitors compliance to contract
requirements ensuring all conditions are satisfied
before approval of the
final invoice .
• Initiates and/or conducts
meetings with Client/Subcontractors concerning
contractual problems as
requested by the Project / contracts
Manager.
• Assists in compiling and
preparing bid documents and
bidders list, including
inquiry preparations, request
for bids and recommendations for award
of contract.
• Dealing with Bonds and Insurances
• Perform other duties as assigned be too management.
• The incumbent must
possess strong written
and oral communication and
interpersonal skills, and
a working knowledge of PC software packages typically associated with
contract administration.
